RMF Suite

Executive briefing: turn the carrier paperwork burden into actionable intelligence — without adding driver admin.

Audience: CEO / Internal leadership — Draft

The core problem (carrier-first reality)

The trucking industry isn’t short on data — it’s drowning in paperwork. Winners will be the carriers who turn that paperwork into profit decisions without adding admin burden to drivers.

Result: carriers make decisions with incomplete visibility, miss deductions/claims, and lose driving time to admin.

Voice of the field (hypothetical)

“I’m not scared of numbers. I’m scared of the time it takes to create the numbers after a 14-hour day.” — Tommy Trucker, Owner-Operator
“If the driver doesn’t send the paperwork right, my whole week turns into chasing documents.” — Delores Dispatch, Dispatcher

RMF’s central theory (the IP / SaaS future)

RMF Suite becomes the system that quietly turns real-world proof (photos, PDFs, emails) into structured carrier intelligence — giving small carriers enterprise-level visibility without enterprise overhead.

Concept

RMF Suite = AI-assisted carrier data lake + human-friendly tools.

  1. Capture/Inbox-first: make it effortless to dump receipts, documents, and messages.
  2. Evidence → Data: extract structured fields automatically, with confidence scores and an audit trail.
  3. ELI5 → Pro: default to simple, actionable summaries; allow advanced users to drill down.
  4. Actionable outcomes: profitability per lane, broker scorecards, cost anomalies, compliance readiness.

Product thesis: a memory + bookkeeper + analyst + compliance assistant that works from what drivers already have.

What RMF Suite includes (product modules)

One shared document + data lake backbone. Each module creates a daily habit (capture) or a measurable outcome (profit, compliance, taxes).

A) RMF ComplyGuard (existing — anchor)

Compliance backbone: document collection and retention, audit readiness workflows, deadline tracking and evidence trails. Optional guided templates and next steps.

Suggested emblem: Shield + checkmark

  • Be ready before they ask.
  • Compliance clarity. No surprises.
  • Audit-ready, every day.

B) RMF Capture (new — the wedge / daily habit)

Capture is the wedge: daily habit builder that feeds all modules. Snap photos, upload PDFs, forward emails to an RMF inbox. Offline-first capture, 1-tap tagging, voice options.

Output: a clean, searchable paperwork timeline by load/date/truck/driver.

Suggested emblem: Camera + document

  • Snap it. Done.
  • Turn receipts into records.
  • Paperwork, without the paperwork.

C) RMF Profitability (new — spreadsheet replacement)

Automated per-load and per-lane profitability: revenue (rate con + accessorials), variable costs (fuel, tolls, lumper, repairs), time costs (detention indicators), broker/shipper scorecards.

Default: Did this load make money? Yes/no + why. Pro: contribution margin charts, time-in-lane analytics, broker ranking.

Suggested emblem: Line chart + dollar

  • Know your money per mile.
  • Stop hauling cheap freight.
  • Profit by load—without spreadsheets.

D) RMF Expenses & Taxes (new — immediate ROI)

Fast ROI: fuel categorization + MPG trends + fuel tax readiness (IFTA), deduction-ready expense categorization, exports to QuickBooks/CSV, missing-receipt detection.

Suggested emblem: Calculator + receipt

  • Keep more of what you earn.
  • Receipts in. Deductions out.
  • Tax-ready by default.

E) RMF Carrier CRM (optional / later)

Lightweight relationship layer: broker contact history, notes, dispute tracking, rate history by lane.

Roadmap (directional)

Suggested immediate priorities (90 days):

  1. Ship RMF Capture MVP (snap + inbox + OCR extraction pipeline).
  2. Integrate ComplyGuard evidence store with Capture output.
  3. Build Profitability prototype (per-load card) using captured documents + manual rate con entry.
  4. Deliver Expenses & Taxes export pack for accountants.

Medium-term (6–18 months):

Insider quotes (for voice)

Next steps / Ask for CEO

  1. Confirm priority: capture-first (MVP) vs. comply-first (anchor).
  2. Approve resourcing for 90-day Capture MVP (1 full-stack, 1 UX, 1 data/ML lead, pilot fleet).
  3. Recruit pilot carriers (owner-ops and 5–10 truck small fleets).
